Before you approve the boost: a creator content usage-rights checklist

A platform permission is not the whole content deal

A brand asks for a YouTube Brand Partner Access request, a TikTok Spark Ads code or permission to run a Meta partnership ad. The interface can make the decision look binary: approve or decline. Commercially, it is not binary. The creator may be granting access to non-public performance data, permission to promote a specific post, permission to use the creator's identity in an ad placement, or a wider licence to edit and reuse the asset. Those rights do not automatically have the same duration or price.

YouTube explicitly advises creators and advertisers to discuss video usage rights and secure any required agreements independently from Brand Partner Access. Google Ads makes the same boundary clear: linking a creator video enables measurement and promotion features, but the advertiser remains responsible for securing sufficient rights to use the video as an ad. The safest creator workflow therefore starts with the written deal, then configures the platform control to match it — never the reverse.

Split the request into four permission layers

Before quoting or clicking approve, translate the request into four layers. The first is the organic post: who publishes it, on which account, and how long it must remain live. The second is paid activation: which advertiser may promote that post, through which ad account, placements, markets and campaign purpose. The third is data access: which public or non-public metrics become visible and to whom. The fourth is the licence: whether the brand may download, edit, crop, dub, subtitle, repost or use the creator's name, image, voice and handle outside the native boost.

A platform authorization may cover only part of this stack. A creator can allow a brand to boost an existing post without granting a perpetual downloadable asset licence. Conversely, a contract may allow the brand to use a delivered file on specified channels even when no native post is connected. Naming the layers prevents one code from being interpreted as permission for every possible use.

  • Organic layer: account, post URL, publication date and minimum live period.
  • Activation layer: verified advertiser, ad account, objective, placements, territory and authorization window.
  • Data layer: fields shared, recipient accounts, reporting purpose and access end date.
  • Licence layer: downloadable files, editing, localization, reposting, likeness and third-party materials.

Know what each platform control actually changes

On YouTube, Brand Partner Access can let a brand or an agency acting for it view organic and paid video-level metrics and use the video in creator partnerships boost. YouTube says creators can remove that access, which stops the associated non-public metric sharing and boost permission. Removal does not rewrite the commercial contract, and the video may still appear in other ad contexts allowed by the platform or by another agreement. The creator should therefore record both the platform action and the contractual end condition.

TikTok Spark Ads use an organic post with the creator's authorization. TikTok's current guidance says authorization duration can be customized; its creation guides show code windows such as 7, 30, 60 or 365 days. The post caption may be locked after authorization, a private post can become public when used in a campaign, and an active code or post can carry deletion and privacy constraints. Those are not minor interface details: they affect the creator's publishing calendar, correction process and ability to remove a post during the paid period.

Meta groups content-level and account-level permissions under partnership ads, and creators can create partnership-ad codes or stop an advertiser from running ads from their Instagram handle. Feature availability and account eligibility can differ. Use the control that matches the agreed asset and advertiser; do not grant broad account permission merely because it is faster than asset-level authorization.

Create one authorization card for every asset

The most useful handoff is a one-page authorization card stored beside the final asset. It should be readable by the creator, manager, brand and media buyer without searching chat history. Start with the legal or trading name of the brand, the approved agency if one is involved, the destination ad account or brand channel, and the exact post URL or asset version. A display name alone is not enough when several agencies or regional ad accounts operate for the same company.

Then record the approved action: native boost only, account-level access, downloadable paid-media use, organic repost or a defined combination. Add territory, platform, placement, start and end dates, spend or impression ceiling if negotiated, editing boundaries, music and third-party asset limits, disclosure responsibility, destination link and the person authorized to approve changes. The card does not replace a contract; it makes the contract executable inside platform tools.

  • Asset ID, final file or post URL, language and version.
  • Brand, agency and exact ad-account or channel identifier.
  • Approved platform control and the person who will activate it.
  • Territory, placements, purpose, start date and hard expiry date.
  • Allowed edits, prohibited edits and rules for captions, music, product claims and likeness.
  • Evidence owner, revocation owner and escalation contact.

Price the scope, not the button

Generating a code may take seconds, but the commercial value comes from the media scope and the creator identity attached to it. Separate the production or posting fee from native paid amplification, broader asset licensing, editing or localization, category exclusivity, extended live time and renewal. A short asset-level boost on one platform is a different product from global paid usage across multiple channels or a licence that lets the brand create derivative edits.

Avoid treating platform defaults as negotiated terms. A 365-day option in a tool is not evidence that the creator agreed to a year of paid use. Likewise, removing a platform connection does not automatically cancel a separate licence already granted in writing. If the request changes after content approval — new market, new advertiser, new placement, new edit or longer duration — reopen scope and price before extending the technical permission. Creators should obtain professional advice when a material licence, exclusivity or likeness clause is unclear.

Verify the recipient before sharing access

Treat a platform request or code like a controlled credential for one asset. Confirm the requester through the campaign's known contact route, verify the brand or agency relationship, and match the destination account ID to the authorization card. Do not approve a request only because the sender knows the campaign name or because the profile display name looks familiar. If the brand changes agencies, require a new written handoff rather than assuming the old permission transfers.

Capture the approval screen, account identifier, selected period and timestamp without storing passwords or private account credentials. After activation, check the live ad identity, destination and disclosure against the approved record. When the platform reports organic and paid results separately, preserve the reporting view used for the campaign so later media-kit updates do not mistake paid delivery for organic channel performance.

Make expiry and revocation part of delivery

The end date should create a task, not a calendar note that nobody owns. Before expiry, decide whether the campaign stops, renews or changes scope. At expiry, confirm the active ad has stopped, the native code or link is no longer usable where the platform supports that control, non-public data access has been removed when required, and any account-level permission that is no longer needed has been revoked. Save the final status with the campaign record.

Revocation also needs an exception path. If the brand runs outside the agreed territory, uses an unapproved edit, points to the wrong destination, continues after expiry or creates a brand-safety issue, the creator or manager should know who can pause the platform permission and who handles the contractual escalation. Platform removal can reduce ongoing exposure, but it does not resolve payment, breach or downstream copies on its own.

The creator's pre-approval checklist

Before approving any boost or partnership-ad request, the creator or manager should be able to answer the following questions from one current record. If one answer is missing, hold the code and resolve the gap first.

  • Is this the final approved asset, post and caption?
  • Have we verified the brand, agency and destination ad account?
  • Does the written agreement name the platform, territory, placements, duration and licence scope?
  • Are native promotion, metric sharing, file licensing and editing permission separated?
  • Are music, likeness, third-party footage and product claims cleared for the paid use?
  • Do the selected platform duration and account permissions match the written deal?
  • Have we recorded the activation screen, timestamp and responsible operator?
  • Is there a named owner and date for expiry, renewal, removal and final evidence?
